Composition
A member of the community becomes a project leader once their proposed project form (and its associated budget form) are reviewed and approved) provided that they meet the expectations (and the performance criteria) of the project leaders
Project leader is a state, which means that a person has to be leading a project to remain a member of the project leaders team. In addition, a person has to continue to meet the performance criteria to remain a project leader
Performance Criteria
Project leaders shall score more than 3.5 on average on each question of the project leaders evaluation survey (on a scale of 1 to 5 where 5 means that the member exceeds expectations and 1 means that the member does not meet expectation)
Project leaders shall participate in the friends program at least at the minimum level
Project leaders shall attend the monthly project leaders meetings and provide an early notice if they are not able to. Members shall arrive to the meeting on time (within 5 minutes at most)
Evaluation Cycle
A Project Leader Evaluation Survey (PLES) shall be used to gather data about the performance criteria.
The PLES shall be conducted annually
Results of the survey shall be made available to project leaders and board members
Project leaders who exceed the expectations shall be recognized in the newsletter
Each year, the organization shall recognize on the Project Leader Honor Roll all project leaders who exceeded the expectations in all the evaluation cycles in that year.
Project leaders who do not meet the minimum expectations for one cycle shall be notified
Project Leaders who do not meet the minimum expectations for two cycles shall resign their position and shall be removed from all project leaders communication tools and be removed from the project leaders list. At such time, their president or his designee shall ensure the project reach conclusion or be reassigned
Project Leaders Evaluation Survey
The PLES is a tool to collect the opinion of project leaders on how each member meets the expectations
Each project leader shall fill the survey for themselves and for each other project leader
The survey will be distributed and collected by the president or his designee every four months
When data is available, answers will be verified
Survey Questions:
Questions that each project leader shall answer about other project leaders: (rate on a scale of 1 to 5 where 5 below expectation and 5 exceeds expectation)
The Project leader has shown evidence of seeking to achieve personal excellence
The Project leader responds to email communications
The Project leader follows the approved project document and operation documents
The project leader is able to recruit and train volunteers to help and assist with his or her project
The project leader abides by his approved budget and follows the financial guidelines
The project leader is seeking excellence in all the deliverables of his or her project
The project leader is keen to understand their project and the operation guidelines before proceeding to implementation
The project leader seeks to achieve priorities of the organization
The project leader seeks to exemplify the values of the organization
The project leader has demonstrated commitment to life-long learning
The project leader contributes to consensus building by listening to others, seeking to build on other’s ideas and shows interest during the meetings
The project leader is open minded and has demonstrated support to diversity
The project leader attends all meeting and is generally on time (within 5 minute)
