Purpose
To define the process to follow when an approved project is completed.
Process
Within 30 days from the completion of an approved project, the project leaders should follow and complete this process
To close a project, the project leader should do the following:
Complete a project score card for the project following the approved Project Scorecard document
Complete an actual project budget form (this is the same as the project budget form but with actual expenses and revenues compared with estimated expenses and revenues)
Complete a lessons learned document that includes answers to the following three questions:
What went well for the project?
What went wrong for the project?
What can be improved if the project (or similar project) is planned again?
If the project included attendees’ evaluation, the result of this evaluation should be included as well
Submit contact information for people attended or participated in the project following the people registration process
The project leader should submit all the items from # 2 above to the president within 30 days of the ending date of the project
A project leader can not be considered for a new project without first closing all his or her completed projects
For projects that have duration of more than six months, they should submit a six-month score card to the project leaders meeting for review and update.
